TaskRay

Feature Highlight: Enhanced Filtering

Enhanced Filtering in TaskRay, which will replace the deprecated Classic Filtering by May 10, 2023, offers a faster, more flexible way to navigate and refine tasks and projects using combined standard Board Filters and customizable Flex Filters, simplifying what previously required numerous custom filters and improving user experience significantly.

Ever since Enhanced Filtering was introduced, it has become much quicker and easier to navigate around TaskRay and focus on the most important tasks.

Need to view all tasks due this week? Or a list of projects set to kick off in the upcoming month? Or perhaps view records that match a combination of project and task criteria? All of this can now be done frictionlessly and on-the-fly.

Feedback from customers indicates that enabling Enhanced Filtering has been a game-changer. If your organization is still using Classic Filtering, here’s why you should consider switching to Enhanced Filtering.

Classic Filtering is going to be deprecated

Classic Filtering will be deprecated (no longer supported) on May 10, 2023. To ensure uninterrupted work, it is strongly recommended to transition to Enhanced Filtering before this date.

Transitioning to Enhanced Filtering is simple

Enhanced Filtering introduces a new way to think about filtering and a new filtering architecture, but the switch is easier than it might seem. It could be as simple as enabling Enhanced Filtering for your organization and using the default options provided.

For example, with Classic Filtering, organizations often created many similar custom board filters with slight variations. For filtering projects and tasks by a related account, a custom board filter was needed for every account. That’s a lot of filters!

With Enhanced Filters, it’s much simpler. The same requirement can be addressed using one of the standard Board Filter options combined with a Flex Filter. For instance, a Flex Filter can be set up to include the Account field as a refinement option. Users can select a broad Board Filter to pull in projects and tasks, then use the Flex Filter to select a specific Account value to dynamically refine what’s visible on the board.

Think of this like an e-commerce website: you start with a broad category (e.g., women’s clothing), then refine the visible items by color, size, or fabric. In TaskRay, the broad category is the Board Filter, and the refinement options are the Flex Filters.

Enhanced Filters do not require rebuilding all those custom Classic Filters. It’s recommended to keep things simple and use Flex Filters to refine data dynamically.

For Admins: configure Enhanced Filters in preview and roll out in phases

TaskRay Admins have additional configuration options to make the transition seamless. Enhanced Filtering can be enabled in preview mode for designated users, allowing them to configure filtering without impacting others. Filters created in preview mode will transfer when Enhanced Filtering is enabled for the entire organization.

It’s also possible to configure and roll out Enhanced Filters in phases, such as by department. This is especially helpful for larger organizations, allowing focus on smaller groups of users rather than everyone at once.

Long-term maintenance is easier

Classic Filtering required maintaining many versions of similar custom board filters, leading to significant ongoing maintenance. Enhanced Filtering eliminates the need to create and maintain so many custom filters. There is now a single centralized place to manage all filters for all users within the app.

Enhanced Filtering wows end users

Enhanced Filtering has quickly become a favorite feature among users. It provides the flexibility needed to manage work and visualize data in any way required. Previously, end users had to request Admins to create custom filters for new data visualization needs. Now, with Flex Filters, end users can request the fields to be included in Flex Filters once, then dynamically filter project and task data as they manage their work.

Conclusion: ready to take action?

Enhanced Filtering is a powerful feature that can transform how your organization manages and visualizes data in TaskRay.
