Industry: Technology, Automotive

Before TaskRay

  • Force Marketing used a non-native, homegrown workflow management system, leading to data duplication issues and inefficiencies across the company.

After TaskRay

  • TaskRay enabled Force Marketing to streamline project management, eliminate data discrepancies, and improve efficiency, integrating seamlessly with Salesforce to support core values of teamwork and innovation.

How Force Marketing Uses TaskRay

The company transitioned from their old technology and process to TaskRay, working with TaskRay support and onboarding teams to ensure a smooth and successful implementation.

Force Marketing now has almost 90 TaskRay users across multiple departments—including Marketing, Operations, Client Success, and Sales. TaskRay is integral to both internal processes and external client work.

Why TaskRay?

Lauren and her team needed a scalable system that could keep pace with the fast-moving automotive industry. They wanted a solution that allowed for regular process iteration without requiring a developer.

After thorough evaluation, Force Marketing identified key reasons for choosing TaskRay:

  • Ability to handle a large volume of projects (up to 23 projects per Opportunity per month)
  • Support for specific task assignment and sharing criteria
  • Real-time project management reporting within Salesforce (tracking statuses, roadblocks, fulfillment time, etc.)
  • Recommendation from a Senior Salesforce Architect

TaskRay was selected as a system solution that supports the company’s core values of teamwork, proactivity, and innovation.

Force Marketing’s Pain Points Before Implementing TaskRay

Previously, Force Marketing used a homegrown workflow management system not native to Salesforce. This led to data duplication and difficulty identifying a single source of truth, causing challenges with content accuracy, project statuses, and company-wide inefficiencies.

They needed a Salesforce-native tool to improve speed and efficiency and eliminate diverging systems.

“A lot of challenges came as a consequence of disconnected systems,” said Lauren Benton, Salesforce Admin & Business Analyst at Force Marketing. “This issue impacted everything from our ability to track job updates and completion statuses, to forecasting revenue, to expanding integrations with APIs. The operational tentacles of this issue were vast and hindered our ability to quickly and profitably scale.”

Force Marketing wanted to unify their systems and processes within Salesforce, making a native tool a requirement.

Onboarding New Customers with TaskRay

On the client-facing side, onboarding an account is pivotal for establishing client relationships. As part of their TaskRay implementation, Force Marketing uses numerous Process Builders and Flows to automate and streamline new client onboarding, ensuring clients get up and running quickly and smoothly.

Why Force Marketing Loves TaskRay

Improved Efficiency

Systemization and formalization of Projects and Tasks in TaskRay have helped Force Marketing improve operational efficiency. With TaskRay, they have real-time project transparency, allowing them to determine project volume and types by department and team. This clarity supports company-wide decisions on bandwidth and workload, maximizing internal resources.

Identify Bottlenecks

TaskRay enables Force Marketing to identify bottlenecks in project implementation and quickly provide training or resources to ensure timely delivery. This has eased training and employee onboarding time. Real-time transparency and reporting also make it easier to share coverage of tasks when someone is unavailable.

Centralized Data

Before TaskRay, Force Marketing lacked centralized data, resulting in less actionable insights. Now, with everything in Salesforce, they can make real-time decisions based on accurate data. TaskRay has saved Force Marketing approximately 25 hours per user per month through automation, and they continue to build on TaskRay’s features.
