June 2024 Release: Meet Collaboration Hub

TaskRay's June 2024 release introduces Collaboration Hub, a secure, fully customizable on-platform solution available in Standard and Premium editions that enhances external collaboration by enabling external stakeholders to directly access and update projects within TaskRay, reducing admin burden, supporting security compliance by keeping data within Salesforce, and offering advanced customization and improved visibility beyond the rebranded lighter-touch features Collaboration View and Collaboration Connect.

Summary

TaskRay has officially enhanced its external collaboration capabilities with Collaboration Hub, now available in both Standard and Premium editions with a Collaboration Hub license. This secure, on-platform, fully customizable experience provides full access to TaskRay for all your external stakeholders. Collaboration Hub is designed to help you stay aligned across projects, teams, and customer accounts for a seamless experience.

How is it different than the previous external collaboration features?

The existing collaboration features, Public Dashboard and External Ownership & Completion, have been rebranded. Public Dashboard is now Collaboration View, and External Ownership & Completion is now Collaboration Connect. Their functionality remains the same and is intended for users who need a light collaborative touch from external partners. Collaboration Hub builds on these features by providing a customizable, on-platform experience for those with security requirements and needing heavier customer project involvement.

What else makes Collaboration Hub stand out?

  • Improves efficiency and speed-to-value by making all external stakeholders a true part of the project. They own their work, make updates directly in the app, and can view pertinent project information, all in TaskRay.
  • Reduces administrator burden on internal teams by allowing for quick and easy setup—just a few button clicks and toggles. Adjusting access levels and permanent settings takes just minutes.
  • Easy for outside partners to interact, as it provides them with a separate login portal to access TaskRay.
  • Helps end users adhere to security or regulatory requirements by keeping all data within Salesforce.
  • Unparalleled customization, offering popular out-of-the-box settings such as chatter, files, and time tracking, plus allowing for advanced development needs.
  • Drives greater visibility, allowing you to keep all files and communications in one place.
  • Provides capabilities similar to Salesforce Digital Experiences (like file sharing and task management) but without the high costs and development resources.

Who is Collaboration Hub designed for?

Project managers within TaskRay and end customers, including external executives, PMs, and external partners, will all benefit from this feature. Collaboration Hub is designed for more mature, complex processes that rely on external stakeholder involvement to be successful, including:

  • A high volume and/or frequency of tasks assigned to external stakeholders
  • TaskRay users who may not have the budget or resources for Salesforce Digital Experiences
  • Strict compliance and security requirements and/or end customers in heavily regulated industries such as financial services, healthcare, manufacturing, field service, real estate and property management, telecom, SaaS/Tech
  • Customers highly involved in projects and who need capabilities beyond Public Dashboard & External Ownership

Collaboration Hub makes it easy for internal and external teams to use and keeps all communications in one central location. It saves time, improves customer experience, and boosts employee morale by reducing time spent generating status reports, scheduling check-in meetings, or tracking the status of client-driven tasks.
