Painting a Picture with TaskRay Template Performance
The article explains how to use TaskRay Template Performance View to analyze and improve onboarding processes by selecting templates, reviewing key data points, investigating task trends and discrepancies, comparing pre- and post-change data, and identifying outliers or patterns to make informed strategic adjustments such as extending task durations, reallocating resources, or creating new templates for specific account types.
Data is abundant, but transforming it into actionable insights requires more than just tracking key point indicators. Instead, it's about weaving together metrics and trends to answer specific business questions, such as how your current onboarding process compares to previous iterations or what changes could yield the greatest impact.
To analyze your onboarding process using TaskRay Template Performance View:
- 1.
Select a Template: Use the Template search field in the top right corner to find and select a specific TaskRay Template. You can further narrow your focus by filtering Task Groups or view the Template holistically.
- 2.
Review Key Data Points: Examine the Template snapshot to compare projected outcomes with historical project tracking. This helps identify discrepancies between Template targets and actual averages.
- 3.
Drill into Template Trends: If discrepancies exist, explore trends such as blocked tasks, overdue tasks, or tasks completed ahead of schedule. These insights can inform strategic decisions, including:
- Extending the duration of repeatedly overdue tasks
- Increasing lag on dependencies for frequently blocked tasks
- Re-allocating or increasing personnel resources
- Modifying business processes or removing bottlenecks (e.g., unnecessary approval steps)
- 4.
Compare Pre- and Post-Change Data: After implementing changes, use the custom date range feature to compare data from before and after the adjustments. This helps determine the impact on your onboarding process.
- 5.
Identify Outliers and Patterns: Investigate individual Projects created from the Template to spot outliers or recurring patterns. For example, if certain Projects take longer to onboard, consider whether factors like Account size or industry are influencing outcomes. Adding custom columns (e.g., related Account or Opportunity) can help confirm these hunches.
If Enterprise Accounts are consistently outliers, you might:
- Create a new Template version for Enterprise Accounts
- Add a Task Group in an “Add-On” Template for these Projects
- Adjust personnel allocation
