TaskRay Resource Management Features Overview

TaskRay's resource management features, including the Configuration Hub for setting roles and resources, and the Dynamic Team Builder for assembling and adjusting project teams with skill-based search, work together to streamline project launches, optimize team utilization, enhance collaboration, and improve capacity planning through analytics and forecasting.

Anyone familiar with resource management knows it involves a lot of moving parts. When there’s a lot of moving parts, it’s easier for things to slip through the cracks—important, expensive things, like under- or over-utilized employees, inaccurate project timelines, false starts or slow beginnings, or kicking off a project with a less than ideal team. Because of this, TaskRay has been hard at work creating resource management features to make this part of your job easier. Here’s an overview of these features and how they work together to streamline processes, build strong teams, simplify capacity planning, and optimize resources through analytics and forecasting.

Configuration Hub

This is where you can quickly get up and running with resource management. From here you can configure placeholder Roles, define Resources, assign Resource Attributes, and access the Dynamic Team Builder, as well as configure business schedules and holidays. Configuration Hub also provides a searchable resource database, which is particularly beneficial for larger organizations.

Why it matters: This feature supports roles such as project managers, template managers, onboarding teams, and admins by reducing time spent on configuration. It ensures streamlined project launches that follow best practices, leading to faster time-to-revenue and happier customers.

Dynamic Team Builder

When it’s time to build a team or switch up team members mid-project, Dynamic Team Builder provides the support you need. It shows all available resources and makes reassignment easy. You can also fine-tune individual project access for effective collaboration. Premium Edition users can use a criteria-driven search bar to quickly find resources based on skills or other characteristics.

Resource Attributes

Resource Attributes allows you to assign skills, certifications, and other important information to individual resources or roles, enhancing the power of the Dynamic Team Builder. Attributes can include certifications, software proficiencies, skills, languages, locations, interests, or any other criteria relevant to your business. You can search attributes to see how many team members meet specific qualifications.

Why it matters: Resource Attributes centralizes important criteria, eliminating the need for spreadsheets or disparate tools. This saves time and money, and helps project managers assemble the right team from the start and easily reassign work when needed.

Resource Planner

Resource Planner provides a central location for all capacity planning needs, streamlining what can be an overwhelming task. You can view your entire team or filter by resource or role, see workload at the project or task level, and visualize it by day, week, or month. Red highlighting alerts you when anyone’s capacity exceeds 100 percent, and you can easily reassign work and see the impact of changes before making them live.

Why it matters: This tool helps maximize resources through informed headcount decisions using accurate capacity data, supports proactive planning, and makes troubleshooting capacity issues easier. It helps prevent under- or over-utilization, reduces employee burnout and turnover, and supports strong decision-making for team building, work assignment, and project timelines.

Resource Analytics

Resource Analytics is an out-of-the-box analytics dashboard that uses various charts to help you quickly identify problems and areas for improvement in resource utilization. You can filter by overall utilization, utilization by month, role, role per month, attribute, and resource to identify trends and see where you need to build out your team or address overutilization.

Why it matters: Resource Analytics addresses top-level resource management needs and is designed for both beginners and advanced users. Insights help organizations become proactive by uncovering patterns and trends for strategic planning and improved long-term resource management. It also reduces administrative burden through out-of-the-box reporting with no ongoing maintenance required.

Resource Forecasting

Resource Forecasting builds on Resource Analytics by giving Premium Edition customers the ability to anticipate future workloads based on the sales pipeline. Forecasting allows you to plan for potential future work with out-of-the-box flows for creating forecast projects.

Why it matters: Resource Forecasting enables you to anticipate potential future resource needs, identify issues early, and take preemptive action. With this insight, you can strategically allocate resources, adapt to changing demands, and address potential issues before they escalate.
